Policies

Number of Guests

Trumpetvine understands that when you give us a deposit to hold the date, you do not know how many guests are going to be at the event.  Therefore, our policy is for you to provide a guaranteed minimum at the time of booking.  Two weeks prior to the event, you are responsible for reporting a guaranteed attendance number to Trumpetvine.  This number can be more but not less than the guaranteed minimum established at the time of the original booking.  Billing and food quantities are based on the guaranteed attendance number.  Children under five are free, children ages 6-12 are half price, and 13 years and older are full price.  Musicians and other vendors are charged at half price.

Change Orders

Trumpetvine reserves the right to change the number of recommended staff, and make other changes if warranted after we visit the event site, or if the guest count, event duration or requested services change.   We anticipate changes in numbers for the final guarantee, due two weeks prior to your event.  All other guest count and last minute changes will be processed for an additional $50.

Payment Terms

A 10% payment of the total estimated event cost, or $500, [whichever is greater] is due on booking. An additional 40% will be due six weeks prior to the event. Final payment is due 10 business days prior to the event.

Pricing

Trumptevine’s cost of food per person is based on the number of guests indicated by you at the time of pricing.  If the number of guests varies or if the menu changes Trumpetvine reserves the right to change the price.

Credit Card Payments

we gladly accept Visa and Mastercard.

Overtime

Events are quoted at either, 6, 7, or 8 hour on site shifts.  After 8 hours, time-and-a-half is billed at 56.25/hour.  Double time (after 12 hours) is 75.00/hour.

Damage

Trumpetvine also understands that there is normal wear and tear on the equipment at every event.  However, Trumpetvine will bill for damaged items due to the guest’s carelessness or neglect.

Cancellation

In the rare circumstance requiring a cancellation, Trumpetvine will take into consideration the cause and timing of the cancellation. The initial payment served to secure the date is non-refundable. If the event is cancelled less than 30 days prior to the event, Client is responsible for 25% of the estimated event cost. If the event is cancelled less than 10 days prior to the event, Client is responsible for 60% of the estimated event cost.

Sales Tax and Service

California law requires caterers to charge sales tax on an entire catered event.  Alameda County tax is 9.75 %.  A 15% service fee is added to cover venue surcharge, transportation, pre and post event labor, and the costs involved in planning and revising your event, and the labor needed to custom produce your food.
